Yes, you can clear all ID's, passwords, fingerprint records, etc. as if the person had never used the checkin system.

For Family related people, locate the person then double-click their name to edit the person record; for employees, go to the employee Information and Relationship button (3 people icon).

When you see the New Register button, hold down the CTRL key on your keyboard (image below) and click the button. You will see a warning message that all checkin and registration information for this person will be removed.

In order for a child to be checked in or out they must:.
  1. Have an Enrollment Status of "Enrolled" as of the current date.
  2. Be assigned to a Primary Classroom on their Information & Relationships screen.
  3. Have at least one pick up person assigned to them (also on the Information & Relationships screen).
  4. And that person must have Registered at the Check in Computer.

An employee must be assigned the following items in order to check in or out.
  1. The Work History screen must show their status as "Currently Employed".
  2. A Primary School (location) and Primary Work Area (classroom) must be assigned on the Employee Information & Relationships screen.
  3. A Pay Code (teacher, aide, etc.) must be assigned on the Employee Pay Rate screen.
  4. (Optional) If you intend to use the "Restrict Check In/Out to Schedule" feature in Region/School Options then they must have a schedule.

Yes. There are two ways this may be done.
  1. The preferred method is to use the Batch Check In/Out feature within the main part of Procare. You would select a particular Child Tracking item (like "PM - Bus: Lincoln School") and choose to include everyone, or just selected children.
     
  2. Another option is to assign the staff person as an authorized pick up on the Information & Relationships screen of each child on the bus. Then use the Check In Computer (or Time Clock) to check them in. Using this method it would be necessary to choose each child to check in.

Yes. If a person has been added as an employee and is listed as a pick up person for at least on child on their Information & Relationships screen they can check the child in, or themselves. They only need to Register for Check In once.
  1. The staff person begins the check in process using their fingerprint, swipe card, or personal ID plus password.
  2. A check in screen will appear with the option to check a child in as an Authorized Pickup or themselves as an Employee. See Image.
  3. After making that choice they complete the normal Check In Process for either the child or themselves.
  4. They automatically return to the screen to choose Authorized Pick Up or Employee again. So if they began by checking in a child, they may now check themselves in.

The fingerprint reader (biometric ID) does not produce a picture or image of individual fingerprints. The system electronically scans hundreds of data points on the finger that are processed as a data string through two proprietary systems. Because this scan is simply a series of random numbers, there is no harmful (or useful) information that can be obtained from the data produced by the fingerprint reader.

Video: Display Hours in Minutes or Decimals Yes. You may choose how hours on time cards and reports should be displayed. Select either HH:MM (hours and minutes) format to display two-and-a-half hours as 2:30 (2 hrs 30 minutes), or HH.HH (decimal format) to display 2.50 hours.
  1. From the Procare Home screen go to Configuration > System > Locations & Users > Regions & Schools.
  2. Select a Region (or School location) > click Set Options.
  3. From the "General" section (left side) look under "Standard Optons" (right side). The setting is called Display Time Span.

You may control the maximum number of hours per day for which a child or employee is allowed to be checked in as well as other attendance related settings like Time Card Rounding,  the hours your center is open, and whether staff members must check in within their scheduled time frame. This is all handled in the Region / School Options screen.

Yes. If your check in station (see note) is connected to an electrically operated door an employee (or authorized pick up person for a child) may buzz the door open without checking in or out.  To do so, the person would act as though they were going to check in/out, but they would not select the name of a person to check in/out, instead they would just press/click the Finish button.

You may choose to turn this feature off in order to require check in/out before the door will open.
  1. Go to the Check In Options screen (for computer check in), or the Time Clock Settings screen depending on the method you use to check in.
  2. At the Options screen choose Hardware.
  3. At the Hardware screen check the box labeled either:
    1. Employee: Require Check In/Out to Open Door
    2. Authorized Pickup: Require Check In/Out to Open Door
  4. Note: A check in station may consist of a check in computer with a Procare Door Controller, or a Time Clock Touch.


During installation a Procare shortcut (icon) is automatically placed on your desktop, however the Check In shortcut is only created if you answer "Yes" when asked if this computer will be used as a Check In station. If you answered "No", by mistake, you can easily make a new one as follows. Do not reinstall.
  1. In Windows click Start > Computer (or My Computer).
  2. Open the C: drive (local hard drive).
  3. Open the folder Program Files > Procare > Client.
  4. Inside the Client folder right-click one of the files below and choose Send To > Desktop (create shortcut).
    1. For Check In, right-click the file CheckInNet (may say CheckInNet.exe).
    2. For Procare, right-click the file Procare (may say Procare.exe).

Any Procare User assigned to a User Group that is allowed to change child (or employee) time cards may edit a record, such as changing the classroom, work area or in/ out time.

When a person checks in their own initials are recorded on the time card, or in the case of a child the initials of the authorized pick up person. If a change is later made to the time card the initials of the person who made the change are shown. Changes are recorded on the Audit Records screen. See the article on Time Card Audit for details.
