A security feature of Microsoft Outlook asks you to confirm each email sent by other programs such as Procare. There is a third party utility which gives you more control so it doesn't ask over and over. See article: Outlook Add-On Utility

Yes. When you click an email link within Procare, or on a website, etc. Windows opens your default email program (known as a mail client or email client). Typically this is a program installed on your local computer such as Microsoft Outlook. However, you can designate Gmail as your default mailto handler as follows:
  1. Download the Gmail Notifier from Google.
  2. Right-click the Notifier icon in your system tray, and select Options.
  3. Check the box next to "Use Gmail for internet mailto: links" and click OK.
