Double-click the person's name (not Account Key) on most any screen to make changes to their Person Information. For example to edit the name, address, phone, email, etc. for a parent just dbl-click their name at the main screen of Family Data or on the Edit Account or Child Relationships screens.



A New Person is someone who has never been entered into Procare. An Existing Person can be found somewhere else. A staff member might be entered under Procare Users, Employee Data and even Family Data (as a parent). A child might be entered under two family accounts. The first time you enter them they are a "new" person, after that add them as an "existing" person.

Hint: When entering new people click directly on the Add button. To add someone already in the system click the tiny down arrow on the Add button and choose Add Existing Person.




It's easy to mark a family account as "hidden" or change them to be visible again. Although you may hide a family for any reason most often it is because they no longer have any children enrolled and they have a zero balance on their account.

To mark a family as "hidden" (or to un-hide them):
  1. Look Up the Family and click the Account Information icon on the Account Toolbar (looks like a file folder).

    Note: If you can't look up the family because they are already hidden use the Select Filter to view "All Accounts" first.

  2. At the Account Information screen you'll see a check box labeled "Hide Account" (top right).)
     
    1. To hide the account check the box and the lightbulb next to it will now be grayed out.
    2. To un-hide the account remove the check mark and the lightbulb will turn back on. 

Yes. You may use an Account Alert which applies to the family as a whole. To note something about a particular person you may wish to use the Comments field on their Person Information screen.

To create an alert click the Edit Account icon (file folder) on the toolbar and type in the Alert box (lower right).


An Alert icon (yield sign) will appear when the family is displayed at the main screen of Family Data (upper right). Hold your mouse over the yield sign to view the alert. This is designed to alert you of things such as: “Do not accept checks, MONEY ORDERS only!” or “Linked to Mary Smith, divorced. Mary is the mother and Bob is the father.”

 


Yes. On the Child Information & Relationships screen click the tiny down arrow on the Add button and choose to Import From another child in the family who has already been set up.



  1. From the main screen of Family Data click Reports > Standard Reports.
  2. From the list of report categories click Family > Rollcall Sheets or Sign In/Out Sheets.
  3. Choose a particular report format like Weekly: 5 Day.
  4. Follow the basic steps for Sorting & Printing Reports.

Option 1
Use the standard enrollment reports located under Reports > Family Data > Child Enrollment. There are several reports from which to choose. The first page of each report displays totals like "Waiting List (4)". Be sure to dbl-click an item to expand that section of the report and see the detail with child names, status dates, age, etc.

  • The "Change of Enrollment Status" is helpful if you want to see any child whose status has changed during a particular period of time, for example anyone new to the waiting list this month.
     
  • The "Enrollment Status Summary" includes everyone's current status as of the specified dates, for example everyone on the waiting list (both children new to the list and those still waiting).
     
  • The "Enrollment Status Summary by Classroom" shows only children who are "Enrolled" as of the specified dates.

When you change a Child's Enrollment Status to "Withdrawn" (or anything other than "Enrolled") you would normally expect them to be excluded from certain reports, however, it depends on the report.

Rollcall & Sign In
For things like Rollcall or Sign In Sheets you’ll want to use the report Filter button to include only children enrolled as of a specified date, like today, or this week, etc. See: Sort & Filter Reports

Financial Reports
For certain financial reports, like a Customer Statement, the child’s name will be included if they were enrolled any time during the Date Range of the reports such as last month, etc.

To create a bus run list or bus roster you'll:
  1. Set up Child Tracking Categories for each bus.
  2. Assign Tracking (bus runs)  to each child.
  3. Print a Report like: Reports > Tracking > Child: Pickup/Deliver - Weekly 5 Day.

Using the Comment field on the child's Person Information screen is an excellent place to record the allergies for a particular child. Then you may print a standard report or use the Data Viewer to create your own customized allergy list.

Yes. Set the Expiration Date to be due every 12 months as follows:
  1. Create an Immunization or Requirement named something like "Expiration Date".
    1. Set the 1st event to be due 30 days after enrollment.
    2. Set the 2nd event to be due every 12 months thereafter. 
  2. On the Child's Immunization Screen enter a date 12 months prior to the actual expiration date. For example if the physician's office says the child's expiration date is June 15th of next year, then enter the date as June 15th of this year. The next one will be due exactly 12 months later.

Video: Expand Report Section Yes. Some reports allow you to drill into the data for more detail. When you hold your mouse over an item on a report you may see the phrase "Double-click to Expand Section". Just double click and you'll see more information about that item.

The best way to track summer camp sessions is to generally to use Child Tracking categories. See the video clip for details.

If there are no child Filters applied and you see all children on the screen for an account, the order left-to-right is determined first by Enrollment status, with all Enrolled children first, then by age. For example, on an account with 4 children, 2 have an Enrollment status of Enrolled and 2 have Summer Break, the two Enrolled children display in position 1 &2, with the youngest in position 1, and the Summer Break status children display in position 3 & 4, with the youngest in position 3.

Some printers may not handle the built-in address label margins properly causing the address to be misaligned on standard Avery labels. To resolve this export the address label report to PDF format, then open and print the PDF.
