What are Special Reports?

At Procare, we strive to help your child care business run at peak efficiency. With that in mind, these free, report downloads are designed to help satisfy requirements in certain states and other unique reporting needs (described below).

How do I install and use Special Reports?

  1. Read the instructions for each report including how to enter any required information, fields, or tracking.
  2. Download the Report Installer and enter the appropriate Code number (listed below).

Important! If you’re a Procare Cloud customer, Procare must install the report for you. Please Contact Support.

State Specific Reports

Arizona

  • Approved for use in Arizona beginning July 1, 2016.
  • For Attendance Tracker users in Arizona who have contracts with DES.
  • Download code: AZ01
  • Sample Report
  • You must:
    • Notify DES of your intent to use the Procare report as a substitute for form CC-218. Just print the sample report and include it with your normal contract renewal paperwork. Questions? Contact DES at CCAContracts@azdes.gov.
    • Print the report weekly and have parents sign and date the sheets for their children. The report will appear under: Standard Reports > Attendance Tracker > Time Card > AZ Child Sign-In / Sign-Out.

Important! Staff changes to child time cards:

So that DES can easily tell the difference between a parent and staff person signing a child in or out, DES requests that centers create a Procare User named STAFF ADMIN and that any staff person who needs to check a child in, out, or make a change to their time card, should log in as STAFF ADMIN before they make the time card entry. Once done with time card entries, the staff person should sign back into Procare as themselves.

California

  • For Payroll users in California. A “Simple Withholdings Summary” that includes amounts withheld for CASDI (California State Disability Insurance). This report requires use of the CASDI “General” withholding. See: Download Withholding Formulas

Georgia

  • Bus run sheet with bus and elementary school. Primarily intended for persons in Georgia, but may be used by anyone.

Washington (no absent days)

  • For Attendance Tracker users in Washington State who report to DSHS for subsidized children. Satisfies Washington Administrative Code (WAC) requirements for electronic sign in.
  • Note: There are two versions of this report. This version does not count absent days (see also WA02 below).The child’s WAC ID number must be entered into the Identification Number field on the child’s Person Information screen in Procare. Only children with ID numbers are included on the report

Washington (count absent days)

  • An alternate version of the report for Washington State. This report counts absent days, holidays (center closed days) and days a child was not scheduled but still attended.The child’s WAC ID number must be entered into the Identification Number field on the child’s Person Information screen in Procare. Only children with ID numbers are included on the report

Other Special Reports

Family Data

  • Description: Name badges with child’s picture and name of adult; mom, dad, etc. Used for open houses or other events where the adults are present.
  • Download code: BADG

Attendance Tracker

  • Description: For centers using the PIN plus password combination for people to check in. These reports show the PIN (Personal ID Number) for each person as well as the last time it was used. Passwords are secure and never shown.
    • For authorized pickups: Go to Standard Reports > Attendance Tracker > Registration > Personal ID Number.
    • For employees: Go to Standard Reports > Employee Data > Registration > Personal ID Number.

Procare Users Exposure

  • Description: This Data View provides a list of all Procare Users and which schools they are allowed access to (exposure). The Data View will appear under Corporate Reports > Data Viewer > Family Data > Procare User School Exposure.
