What is Autopay?

Autopay makes billing easier for everyone by letting families set up secure, automatic tuition payments online. It helps ensure payments are made on time and cuts down on the need for manual reminders or follow-up. Once autopay is enabled for an account, Procare Online will automatically withdraw the invoice balance from the stored payment method on the due date.

Autopay Configuration Options

Family-Initiated Autopay

When a center does not require autopay, families have full control over their autopay settings.

They can opt into autopay through their parent portal and enable or disable it at any time using the autopay toggle in their account.

Center-Required Autopay

Centers can choose to require autopay when a payment method is added.

Important: If you need to enable autopay for your center, please contact our support team for assistance.

Once center-required autopay is enabled:

  • All families will be automatically enrolled in autopay by default

  • Important: Families lose control over their autopay settings - only center administrators can toggle autopay ON or OFF for individual families

  • Multi-family accounts are excluded from automatic enrollment (see Multi-Family Accounts section below)

How to Turn Autopay ON or OFF for a Family

If your center has autopay enabled, you can manage autopay settings for individual families:

  1. Navigate to Billing > Accounting screen

  2. Find the family account and click the ellipsis (⋯) button

  3. Select Turn Autopay ON or Turn Autopay OFF

  4. Confirm your action

Note: When autopay is enabled, "Autopay" will appear below the family’s payment method on the Accounting screen.

What Families See During Payment Setup

When autopay is required or enabled for a family, parents will see this reflected during payment method setup:

  1. Add Payment Method:If autopay is enabled or required, parents will be prompted to acknowledge this when adding a new payment method. Available options depend on your center’s accepted methods (e.g., credit/debit cards, ACH).

  1. Payment Method Added: After successfully adding a payment method, parents will see confirmation.

  1. Making Manual Payments: If autopay is enabled, a message will confirm that autopay is active. While the system will automatically draft the invoice balance on the due date, families can still make payments manually at any time.

Autopay for Multi-Family Accounts

Multi-family accounts have special considerations for autopay:

  • Multi-family accounts are not automatically included when you enable autopay for your center

  • Each parent/guardian on a multi-family account must opt in individually

Key Reminders

  • Autopay will automatically draft the invoice balance using the designated payment method on the invoice due date

  • Parents can still make manual payments before the due date even with autopay enabled

  • Multi-family accounts require special handling and are not automatically enrolled in center-wide autopay settings


Autopay FAQ

If an account has multiple parents but is not a split family, which payment method will the system use first?

The system will use the first payment method that was added. If this fails and additional payment methods are available, the system will try ACH methods before card methods.

How can parents tell if autopay is enabled?

Parents will see an autopay nabled message in their account, and autopay status is displayed underneath their payment method.

Can a family change their payment method if autopay is turned on?

Yes. Select Change Payment and then click on the pencil icon next to the payment type to update it. They won't be able to delete the payment method but they can edit it.

Can I turn autopay off for one parent on an account?

No. Autopay settings apply to the entire family account, not individual parents within that account.

Will the system pull a partial payment if the full balance is unavailable?

No, if the full invoice amount cannot be processed (e.g., invoice is $100 but the account has $80), the system will not process a partial payment.

Can a family delete a payment method if autopay is turned on?

Families cannot delete their payment method if autopay is enabled and it's their only payment method. They must either add an alternative payment method first or contact the center to disable autopay.
