Sign-In/Out Student Reports


Article summary

Procare Online has a number of reports that show attendance detail. Navigate to the Reports tab to find and download the following attendance reports:

Daily Attendance Report

The Daily Attendance report is available as a PDF or Excel. Both versions display student sign-in/out records for a selected day. The PDF version also displays the sign-in signature and any kiosk form responses.

Daily Absent Report

The Daily Absent report is available as a PDF or Excel.

  • Excel version - The Marked Absent tab on the Daily Absent report shows a list of students marked absent during the selected dates and any notes entered when recording the absence. The Missed Sign-In tab of the report displays all students scheduled but not sign-in or marked absent.
  • PDF version - The Daily Absent report pdf version displays a list of students marked absent with any noted entered.
  • When selecting future dates, any scheduled absences will display on this report.

Drop-in Availability Report

The Drop-in Availability report displays open spots per room for future dates. This report takes into account

Report Columns

  • Each day lists (weekends included):
    • Students Scheduled
    • Scheduled Absences - the number of students who have a scheduled absence for the day (pulled from Student Sign-In > Absent)
    • Spots Available - calculated by using Room Capacity, scheduled students and scheduled absences
  • Each room lists:
    • Room name
    • Capacity
    • AM
    • PM
    • Notes - this field is added for admins to add any optional notes

  • Date Range - Can be set up to two months from the current date
  • Rooms

Report Fields

Report FieldDefinition
DayDay of the week room availability is calculated for
Students ScheduledThe number of students expected to be in the room on that day, calculated from the student schedules in Room > Students > Schedule.
Scheduled AbsencesThe number of students who are expected to be absent on that day, calculated from the Student Sign In/Sign Out Absent Tracker.
Spots AvailableThe number of open spots remaining in the room, calculated as Room Capacity minus Students Scheduled plus Scheduled Absences.
Room NameWhich room the data is for.
CapacityThe maximum number of students the room can accommodate, as set in Room > Capacity.
NotesA field where admins can add additional information or comments about the room's availability.

Best Practices
To ensure the report generates accurate and meaningful results, confirm the following setup is complete:

  • Room capacity is set
  • Student schedules are assigned

Monthly Hours Report

The Monthly Hours report provides a detailed count of days attended, total attended time in hours, time attended per day and more. This report can be filtered by room and/or tags.

Monthly Attendance Report

The Monthly Attendance report provides a summary of sign-in/out records for a selected range of dates. This report can be filtered by room and/or tags.

Important: The Signed-In and Signed-Out columns will be highlighted when a student was signed-in, but not scheduled for the day.

  • Sign-In and Sign-Out times for the selected date range. Each sign-in/out has the time, signed in by and sign-in room

Attendance Per Student Report

This report will detail sign ins and outs for any time period for a specific student. Their total hours will be calculated at the bottom of the spreadsheet (not shown).
