KinderSystem Texas Requirements

In September 2026, the state of Texas adopted new requirements for collecting and submitting child attendance records for subsidized child care. As of September 8, 2026, the student sign-in/out process for Procare Desktop customers in this category has been updated.

What is Changing?

To meet the requirements set by the state of Texas for subsidized child care, Procare Online has been updated to require the following when a student is signed in/out from a center:

  • Photo - A photo of the parent/guardian or staff member performing the sign-in/out is captured at the time of the action.

  • Location -The device’s location is captured at the time of sign-in/sign-out.

  • Signature - The parent/guardian or staff member performing the action must provide a signature, using the same device.

What Does This Mean?

Attendance data must flow to KinderSystems through Engagement Functionality in Procare Desktop. If your center currently uses the KinderConnect® Extra inside Procare Desktop to log attendance, that method is no longer supported for this requirement — you will need to use Engagement Functionality instead.

To address the new requirements, your center can use:

  • Engagement Functionality in Procare Desktop to log attendance or

  • a KinderSystems device

Our center has decided to use Procare to log attendance.

KinderConnect Extra feature in Procare Desktop can no longer be used to meet this requirement. Your center will need to use Engagement Functionality.
Follow the steps listed below.

Step 1. Get Access to Engagement Functionality in Procare Desktop

You will need:

  • Engagement Functionality enabled for your center

  • Admin-level access

Don't have Engagement Functionality or admin-level access? It is part of your Procare Desktop subscription, and you can access it at no additional cost. Contact Customer Support to get set up.

Step 2. Learn the Basics of Engagement Functionality in Procare Desktop

Once you have access, you will use Engagement Functionality to log attendance going forward.

Options to Log Attendance

Engagement Functionality supports four ways for parents/guardians or your center to log attendance. Pick the option(s) that work best for your program.

Attendance Will Sync

Remember, attendance will sync back to Procare Desktop with any of these chosen methods.

Step 4. Turn on the KinderSystems SIgn-In/Out Verification (Texas Only)

Enable this setting in Engagement Functionality to flag attendance data for KinderSystems reporting.

Step 5. Integrate Engagement Functionality with KinderSystems

Connect your Engagement Functionality account to KinderSystems so attendance can be matched and submitted.

Step 6. Train Your Staff and Families

Make sure everyone knows how to use the new attendance method day to day.

  • Do staff:

    • understand the requirements?

    • know how to problem-solve and troubleshoot?

Step 7. Monitor, Match and Submit Attendance

Once your center is live with the new process, ongoing work is needed to keep attendance accurate and submitted on time:

  • Review and correct attendance records, including backdating when needed.

  • Match students to their KinderSystems IDs.

  • Submit attendance to KinderSystems.
