Engagement Functionality for Procare Desktop

Procare's Engagement Functionality works with Procare Desktop to provide a complete child care management solution. It's the best way to stay connected with your families — sharing updates, photos, and important information in real time.

Once connected, student, parent, staff, and pickup information automatically syncs from Procare Desktop to Engagement Functionality and the Procare child care mobile app, so your staff and families always have access to the latest details.

  • Changes to family information, teachers, or rooms must be made in Procare Desktop to ensure they are synced to Engagement Functionality.

  • Engagement Functionality displays Lock lock icon next to the information from Procare Desktop.

Attendance is a two-way sync.

When a child is checked in or out through:

  • Procare Desktop

  • Engagement Functionality or

  • Procare child care mobile app

the check-in/out time and status will automatically appear in both Procare Desktop and Engagement Functionality within about a minute.

Attendance Sync Turn On/Off

Attendance sync can be turned off so children must be checked in/out of Engagement Functionality separately from Procare Desktop. The sync may also be turned back on if it was previously turned off. Contact customer support for assistance.

Parent payments sync from Engagement Functionality to Procare Desktop. When parents add a payment method through the Procare child care mobile app or the Engagement Functionality website, their account balance will sync over from Procare Desktop. Once a payment is made in the app or website, it will show up immediately in the account ledger in Procare Desktop.

Syncing and Billing

Syncing only flows in one direction for billing — invoice and payment information does not sync from Procare Desktop back to Engagement Functionality or the Procare child care mobile app.

Two types of syncs bring information from Procare Desktop to Engagement Functionality:

  • A sync that:

    • runs every 30 minutes throughout the day and only updates changes made since the last sync

    • is manually triggered from Engagement Functionality whenever you need an update sooner than the next automatic run

  • A full sync that runs automatically once per night, and re-syncs the complete set of data rather than just changes


Manually Trigger a Sync

  1. Log in to Engagement Functionality via the website: https://schools.procareconnect.com.

  2. Click Cloud Sync cloudsync.png in the upper right corner of the window.

  3. Click Sync.

  4. Cloud Sync cloudsyncbl.png turns blue. You do not need to stay in this window, but can continue working in Engagement Functionality.

  5. The message Data has been synced will briefly appear in the bottom-right corner of the window. Cloud Sync turns gray again when the sync completes.

Sync Notes

  • Manual syncing can only be triggered once per hour for your account. If you click the icon and nothing happens, it likely means a manual sync already ran within the last hour.

  • The manual sync runs the same sync that happens automatically every 30 minutes — it just lets you pull recent changes sooner. It is not the nightly full sync.


When Do I Need to Contact Support for a Full Sync?

In almost all cases, either the automatic sync (every 30 minutes) or a manual sync is enough to sync your changes.  There are exceptions, which include adding a new:

  • payer or

  • authorized pickup to a child's profile

This requires a full sync to take effect in Engagement Functionality. If a newly added parent/guardian or authorized pickup person needs same-day access to use the Procare child care mobile app or to sign the child in/out of attendance, contact Procare Support to request a full sync rather than waiting for the next nightly run.

Children will sync from Procare Desktop to Engagement Functionality as long as they have a Status of Enrolled that is not set for a future date and a Primary Classroom assigned in Procare Desktop.

To update or review in Procare Desktop, go to Family Data & Accounting > Account.

  1. Click Enrollment Status enrllmnt.png .

  2. Select Enrolled from the Status dropdown.

  3. Update the date as needed. If the enrollment date is in the past, the child will sync to Engagement Functionality. If the enrollment date is in the future, the child will sync to Engagement Functionality on that date. To remove a child from Engagement Functionality, update the child's status to any other enrollment status and select the date for this to go into effect.

  4. Add a Primary Classroom.

  5. Click Information & Relationships clhdnfrltnshp.png.

  6. Select the Primary Classroom from the drop-down.

  • To remove a person as a pickup, uncheck the Pickup box.

  • To add a pickup, select Add and check the Pickup box across from their name. In order to avoid duplicates that can later lead to attendance sync errors, make sure to choose Add Existing Person if the person already has a profile in Procare Desktop.

To assign the Primary Work Area, go to Information & Relationships > select the room from the dropdown.

To deactivate an employee in Engagement, go to Procare Desktop and change the Work History status to anything other than Currently Employed and show a termination date. On the next sync, the employee will be set to inactive in Engagement Functionality.

How to Get Started with Engagement Functionality

1. Confirm your school is connected to Engagement Functionality

  1. Go to Procare Desktop.

  2. Locate the Connected with Engagement menu item in the top-right corner.

  3. Click for options:

    1. Launch Engagement - opens the Engagement Functionality website, https://schools.procareconnect.com

    2. Sync Help - opens the Procare Support Site for Engagement Functionality articles.

Missing the Connected with Engagement Menu Option?

If this menu item is missing, then Procare Desktop is not currently linked to Engagement Functionality. Contact Customer Support.

2. Update School, Family, and Teacher Information to Appear in Engagement Functionality

  1. Make any changes to this data in Procare Desktop.

    Engagement Functionality is read-only for this data, indicated with Lock lock.svg on synced fields.

  • School info (name, address, phone, director email)

  • Children (name, classroom, date of birth, siblings, enrollment date)

  • Payers (name, email, cell phone number)

  • Pickups (name, relation, cell phone number)

  • Teachers (name, primary work area, email, cell phone number, employment start date)

  • Users and System Supervisor (name, email, cell phone number)

  1. Confirm the underlying requirements are met, see Quick Reference - What Syncs and What Does Not.

  • The most commonly forgotten requirements are:

    • missing child enrollment status

    • teacher employment status

    • classroom

    • work area

    • payer designation

  • In Procare Desktop, make sure payers are also check-marked as pickups in the Child Information & Relationship menu option. If the payer is not designated as a pickup, attendance logged by that parent in Engagement Functionality will not sync to Procare Desktop.


    This can also happen if the pickup is a duplicate of the payer in Procare Desktop, rather than the same person profile. Make sure to choose Add Existing Person when adding the payer to the Child Information & Relationships menu option. If you suspect a duplicate profile, remove it. See Remove Duplicate People to learn how.

  • In Engagement Functionality, you should not see a parent listed as both a parent/guardian and an additional authorized pickup. Parents/guardians are automatically set as authorized pickups. Seeing a parent/guardian listed in both sections of a child's profile in Engagement Functionality indicates a duplicate person profile and can be resolved in Procare Desktop by removing the duplicate person. See Remove Duplicate People to learn how.

Important Note

Siblings in Engagement Functionality share the same parents/guardians and additional authorized pickups. For split families where parents/guardians should only have access to view certain students, set up the accounts as usual in Procare Desktop (see the Divorced Parents and Split Accounts video for more information) and then unlink the students as siblings in Engagement Functionality:

  1. In Engagement Functionality, go to My School > Students.

  2. Select a student.

  3. Scroll to the Siblings field on the student's profile.

  4. Click on Remove under the sibling’s name.

  5. 4. Parents/guardians will initially remain on the student's profile and be removed from the removed sibling's profile. Allow a full overnight sync to run or contact Procare Support via Tucker Chat to request a full sync.

3. Set Up Messaging Options and Phone Numbers for SMS/Text


To display phone numbers in Engagement Functionality so you can send SMS messages, follow these steps in Procare Desktop:

  1. Confirm Messaging Options are enabled with the Procare Messaging Service

  • Allow Email Messages - use this option to enable True or disable False emailing.

  • Allow Text Messages -  se this option to enable True or disable False text messaging.

  • From Email Address - the email address displayed is used as the ‘From Address’ when sending email messages from Procare. This email is set by the messaging service and cannot be changed.

  • Email Display Name - when sending an email, this is the name that will appear next to the email address above.

  • Reply To Email - this is the email address responsible for receiving replies and email undeliverable/bounce notifications.

Verify cell numbers are listed as Cell in the Phone Information sections for all:

  • payers

  • authorized pickups

  • employee

  • other users

  • Payer
    Go to Procare Home > Family Data & Accounting > select a family member  > click the payer > Phone Information

  • Authorized Pickup
    Go to Procare Home > Family Data & Accounting > Child > Information & Relationships > click Authorized Pickup

  • Employee
    Procare Home > Employee Data & Payroll > select employee > click the employee

  1. Go to Procare Home > Utilities > Download Procare Support File.

  • Enter password TM01.

  • Click Download.

  • Click Update Numbers.

  • Click Exit.

4. Sync Data

  1. Automatic sync

  • Automatic sync occurs every 30 minutes

  • Manual sync can be done once per hour

New Payer or Pickup Added

New payer or authorized pickup added requires a full sync; you can wait for the next overnight sync or contact support via Tucker Chat to request a full sync.

  1. Once the sync is complete, verify that the information is correct in Engagement Functionality.

  1. Review for inconsistencies.

5. Update staff roles and room assignments in Engagement Functionality

  1. Set up Staff Roles & Permissions in Engagement Functionality.

Go to School Settings > Roles & Permissions.

  1. Assign roles to staff in Engagement Functionality.

Go to Staff > Profile > Roles & Permissions.

  1. Review and assign rooms to staff in Engagement Functionality.

Go to Staff Management > Staff.

6. Configure Attendance Settings

It's important to decide which attendance methods you will use moving forward. Since attendance is a two-way sync between Procare Desktop and Engagement Functionality, you can choose any method and see attendance records in both places.

  • Alternatively, parents and staff can log attendance through Engagement Functionality's Procare child care mobile app with the:

    • QR Code

    • Curbside Contactless (GPS)

    • Parent Kiosk

    • Staff Check In/Out.

It is highly recommended that you first ensure all students are signed out of attendance in Procare Desktop before starting attendance syncing. The batch check-in/out feature for multiple students is best for identifying students with missed sign-outs, so you can sign them all out at once.

Important Notes

  • If you use the door controller

  • Rounding in Procare Desktop

    • If using Engagement Functionality for attendance, set the minute interval to None in Procare Desktop

  • Procare Desktop’s Deny Entry feature is not supported in Engagement Functionality.

  • Procare Desktop max hours should be set to the default of 16. If it's set to a lower value — for example, 8 — auto sign-out from Engagement Functionality will not succeed.

  • Timecard edits will not sync. Each will retain the original time recorded for that day.

  • Schedule exceptions in Procare Desktop, such as Absent days, do not sync with the Engagement Functionality absent day notation.

7. Explore Engagement Functionality Features

There are many communication features available to your center with Engagement Functionality. You can pick and choose which ones you want to use. Many centers roll out one feature or a few features at a time.

9. Invite Your Families


Send How to Sign Up for a Procare Account support article to families to explain the sign-up process and help troubleshoot any issues.

When ready, invite families to sign up for a Procare account with Engagement Functionality.

  1. In Engagement Functionality, go to My School > Students.

  2. Click More Actions in the top right corner.

  3. Select Send Parent Invite.

  4. Select the students you want to invite.

  5. Click the checkbox Show students whose parents are not signed up yet or

  6. Click Select All to send the invite to all parents.

  7. Click Send Email.

  8. Parents/Guardians will receive an email verification request and are prompted to sign up once they verify their email.

No Email

Parent/Guardians with No Email on file cannot be selected.

10. Accept Parent Card Payments via Engagement Functionality


To allow families to view their account balance and make card payments directly through Engagement Functionality and the Procare child care mobile app, follow these instructions.

  1. Engagement Functionality must first be enabled by Customer Support to accept parent payments. If this has not been done yet, or if you're not sure, contact Customer Support via Tucker Chat to request that it be enabled for parent/guardian card payments.

  1. Parents/guardians must add a payment method (card only) to the Procare child care mobile app or to Engagement Functionality. This allows them to see their balance sync from Procare Desktop.

  1. Immediately after making a payment in the Procare child care mobile app or in the Engagement Functionality website, the parent's payment will appear in their account ledger in Procare Desktop.

Note

  • No invoice or payment information syncs from Procare Desktop to Engagement Functionality or the Procare child care mobile app.

  • Engagement Functionality accepts card payments only.

Troubleshooting Guide

Guidance for common sync issues.

Parent/guardian is missing from Engagement Functionality or did not receive an Invitation.

Cause: The parent is not designated as a Payer in Procare Desktop, so they are excluded from the sync. A family member must be set up as a Payer in Procare Desktop to sync as a parent/guardian and have access to the Procare child care mobile app.

To resolve:

  1. Open the student’s record in Procare Desktop.

    1. Go to Procare Home > Family Data & Accounting

    2. Click on the Edit Account edtacct.png to confirm who appears as a Payer.

  2. If the parent is not listed as a Payer, add them from the Edit Account window.

    1. Select Add Existing Person if they already have a profile in Procare Desktop.

  3. Allow a full overnight sync to run. If the parent/guardian needs access today, contact Procare Support via Tucker Chat to request a full sync instead.

  4. Once synced, invite parent/guardian to sign up for a Procare account with Engagement Functionality:

    1. In the Engagement Functionality website, go to My School > Students.

    2. Click More Actions    in the top right corner.

    3. Select Send Parent Invite.

    4. Select the students you want to invite.

    5. Click the checkbox Show students whose parents are not signed up yet or

    6. Click Select All to send the invite to all parents.

    7. Click Send Email.

Parents/Guardians will receive an email verification request and are prompted to sign up once they verify their email.

Parent/guardian cannot log In or there is an email address mismatch.

Cause: The email in Procare Desktop does not match the email the parent uses to log in to their app account. This commonly happens when a parent's email is updated in Procare Desktop after their Engagement Functionality account was already created.

Important

Updating a parent's email in Procare Desktop and syncing does not automatically change their Engagement Functionality login email. The login email requires a separate, server-side update — a sync alone cannot fix this.

To resolve:

  1. Confirm the email address currently on file in Procare Desktop is correct for this parent. If not, update the email address ion their person profile in Procare Desktop and manually sync Procare Desktop to Engagement Functionality.

  2. Allow a full overnight sync to run or contact Procare Support via Tucker Chat to request a parent/guardian email login address update. Provide the parent/guardian name and the email address they would like to use.

Student does not appear in classroom sign-in.

Cause: In Procare Desktop, the child's enrollment status:

  • is not set to Enrolled, or

  • their enrollment date is set to a future date or

  • they do not have a primary classroom assigned

To resolve:

  1. Open the child’s record in Procare Desktop, got to Procare Home > Family Data & Accounting.

  2. Select the child.

  3. Click Enrollment Status enrllmnt.png . Confirm the most recent status is Enrolled and that the date for enrollment is not set to a future date.

  4. If changes are made, click Save.

  5. Click Exit.

  6. Check their Primary Classroom, click Child Information & Relationships clhdnfrltnshp.png.

    1. Confirm a Primary Classroom is assigned to the child.

    2. If changes are made, click Save.

    3. Click Exit.

  7. Allow up to 30 minutes for the next automatic sync to run, or run a manual sync in Engagement Functionality.

Allergy data is not syncing.

Cause: Allergy data does not sync between Procare Desktop and Engagement Functionality.

Recommendation:

  • In Procare Desktop, allergies are set up as a child’s tracking items. Continue to track allergies in Procare Desktop and print the Child Info Sheet With Categories report by classroom for teachers.

  • You can manually enter allergies into each student’s profile in Engagement Functionality:

  1. Go to My School > Students.

  2. Select the student.

  3. Hover over the  Allergies field and click Edit .

  4. Enter the allergy type or to indicate no allergies you can enter any of the following: None, No, NA or N/A.

  5. If the student has a listed allergy, the red cross allergy icon will appear on the student's profile throughout the Engagement Functionality website and the Procare child care mobile app.

  6. Allergies can be found in the Emergency Card Report and the Students and Family Report (select Custom Report from the dropdown and checkmark the Allergies field).

If you want allergy information to appear in both Procare Desktop and Engagement Functionality, you need to enter the data in both systems.

Deleted Authorized Pickup is still appearing in the Procare child care mobile app

Cause: Removing an authorized pickup person in Procare Desktop may not immediately update the Engagement Functionality pickup list — a full sync is often required, especially if that pickup was also a payer.

To resolve:

  1. Review in Procare Desktop, go to Procare Home >  click Child Information & Relationship clhdnfrltnshp.png and verify the individual is not marked as a pickup.

  2. Run a manual sync.

  3. Allow a full overnight sync to run, or contact Procare Support via Tucker Chat to request removal of the pickup. Provide the child's name and the pickup’s name.

The wrong parent/guardian is receiving notifications after a family split.

Cause: When a family is split in Procare Desktop, sibling linkages and parent-child relationships in Engagement Functionality do not always update automatically.

To resolve:

  1. In Procare Desktop, go to Procare Home > Family Data & Accounting > Edit Account edtacct.png and verify payers are correct for each account.

  2. Allow a full overnight sync to run, or contact Procare Support via Tucker Chat to request a full sync.

  3. If the issue persists, contact Procare Support via Tucker Chat in Engagement Functionality with the correct family account setup, including the names of the parents and children who should be listed on each account.

Employee timecard and staff sign-in/out data not syncing

Cause: Staff timecard and check-in data does not sync between Procare Desktop and Engagement Functionality.

Recommendation:

  • If you are using Procare Desktop for payroll, use It for staff check-in as well.

  • If you are using Gusto for payroll or utilizing the ratio monitoring feature in Engagement Functionality, use Engagement Functionality for staff check-in.

  • Some programs use Procare Desktop for official staff timecards for payroll and also have staff clock in and out through the Engagement Functionality for ratio monitoring. This does require two separate check-ins and check-outs.

Recent changes are still missing after an automatic or manual sync.

Cause: The manual sync and the automatic sync that runs every 30 minutes handle incremental changes throughout the day, but they don't rebuild full parent/family relationships. Adding a new parent, splitting a family, or making significant enrollment changes may only fully take effect after the next overnight full sync.

To Resolve: Allow a full overnight sync to run, or contact Procare Support via Tucker Chat to request a full sync.

Attendance sync issues

If attendance is not syncing or you notice red cloud errors in Engagement Functionality > Student Sign-In > Attendance, see Attendance Sync Rejection Codes (Desktop and Engagement Functionality) to troubleshoot.

Attendance syncs both ways, immediately and automatically, whether you're logged into Procare Desktop or Engagement Functionality (including the Procare child care mobile app). Manual syncs, automatic syncs, and full overnight syncs do not affect attendance data.

Quickly deactivate a staff member/teacher/employee

If a staff member must be deactivated immediately, the best way is to deactivate them in Engagement Functionality so they lose access immediately.

  1. In Engagement Functionality, go to Staff Management > Staff.

  2. Locate the staff member > click More Options .

  3. Click Deactivate.

The selected staff member will be immediately moved to the Deactivated staff list and will lose access to Engagement Functionality and the Procare child care mobile app.

Next, terminate the staff member in Procare Desktop; otherwise, they will sync back as an active staff member during the next sync.

  1. In Procare Desktop, go to Employee Data & Payroll.

  2. Click on the staff member’s name in the staff list.

  3. Click Employee Work History emplwrkhstry.png .

  4. Select a status other than Currently Employed in the Status column. The date defaults to the current date.

  5. Click Save.

  6. Click Exit.

In Engagement Functionality, run a manual sync. When the sync completes, go to Engagement Functionality > Staff Management > Staff and confirm the staff member still shows as terminated (not reactivated). This confirms the termination steps were successful.

A parent/guardian cannot see their account balance in the child care mobile app or the balance shows as $0.

To view a balance in the Procare child care mobile app:

  1. Enable Payments - ensure that your account is configured to accept payments through Engagement Functionality. If payments are not enabled, the balance will not be visible. Reach out to Procare Support via Tucker Chat if you are not sure your account is enabled to accept payments, or if you want to start accepting payments.

  2. Add a Payment Method

    1. Parents/guardians will need to open the Procare child care mobile app.

    2. Tap Menu menuapp.png.

    3. Select Make Payment.

    4. Add a payment method.

Reach out to Procare Customer Support if:                        

  • A parent/guardian's login email needs to be updated after an email change in Procare Desktop.

  • A deleted authorized pickup is still visible in the app after the next full overnight sync.

  • A family split has resulted in incorrect parent-child relationships that persist after the next full overnight sync.

  • You need a manual sync triggered outside the normal schedule.

  • Changes made in Procare Desktop yesterday or later still are not reflected in Engagement Functionality.

When contacting Customer Support, provide the:

  • the child's full name

  • the parent/guardian or contact name affected

  • a description of any changes made in Procare Desktop

  • the date the change(s) were made
